Subcontractor management software Every subcontract with a running total, and no payment without approval.
Aaghaz360's subcontractor management software gives each subcontractor a contract per project with its value, advance, retention and who supplies material. Every payment is approved before it goes out, and each subcontractor's ledger shows advances, retention and payments together.

What is subcontractor management software?
Subcontractor management software, sometimes called a subcontractor management system, keeps each subcontract in one place: the agreed value, any advance, who supplies material, and every payment made against it. The point is a running total: how much of the contract is paid, how much subcontractor retention is held, and how much is left.
In Aaghaz360 subcontracts sit in the labour module, next to daily-wage workers and labour heads. Each payment is approved before it is marked paid, and subcontract cost lands on the project phase it belongs to. It covers the contract and the money, not insurance or compliance paperwork.
What to look for in subcontractor management software
- A contract per project with value, advance and retention
- Who supplies material, written on the contract
- Full, part and advance payments, each approved first
- A ledger per subcontractor with advances, retention and payments
- Bank or mobile wallet details, with owners told of any change
- Subcontract cost posted to the project phase
Aaghaz360 does each of these in every package.
How subcontract money gets away from you
Subcontractors are usually paid in instalments over months. Without one running total per contract, nobody is sure how much has gone and how much is left.
- 1Advances paid in cash and forgotten when the final account is settled.
- 2Payments agreed on a phone call, with no approval and no receipt.
- 3Retention agreed at the start, then never actually held back.
- 4Nobody remembers whether the subcontractor or the company was meant to supply the material.
- 5A subcontractor's bank details changed by a message nobody checked.
- 6Subcontract cost added to the job at the end, so the phase budget looks fine until it isn't.
What is kept for each subcontract
Subcontracts sit in the labour module of Aaghaz360 construction software, so contract payments, daily wages and supplier bills all reach the same project budget.
A contract per project
Its value, the advance, the retention, who supplies material and your terms, printed on the contract's PDF.
Payments approved first
Record a full payment, a part payment or an advance. It is approved before it is marked paid, with its receipt.
Bank or mobile wallet details
Keep the subcontractor's account on file. Owners are told about every change to it.
Subcontract work from site
The site team records subcontract work on the daily log, next to labour, material used and photos.
Subcontract cost on the phase
Cost is split into material, labour, subcontract, machines and services, and extra costs, each posted to its project and phase.
Labour gangs alongside trades
Day-wage workers and labour heads live in the same module, so a gang paid by the day and a trade on contract are both covered.

Worked example · sample figures
One subcontract, from advance to retention
A plastering subcontract on a two-storey house: $12,000, a $1,500 advance on signing and 5% retention, paid as each floor is finished.
| Step | Work done | Retention held | Paid now | Paid to date |
|---|---|---|---|---|
| Advance on signing | — | — | $1,500 | $1,500 |
| Ground floor complete | $6,000 | $300 | $4,200 | $5,700 |
| First floor complete | $6,000 | $300 | $5,700 | $11,400 |
| Retention released | — | −$600 | $600 | $12,000 |
| Total | $12,000 | $0 | $12,000 |
Sample figures. The advance is recovered from the first payment ($6,000 − $300 retention − $1,500 advance = $4,200), and the $600 held back is paid after the defects period. Aaghaz360 holds the contract's value, advance and retention and approves each payment; when you recover advances and release retention follows your own contract terms.
What Aaghaz360 doesn't do for subcontractors
Some subcontractor software is built around compliance paperwork. Aaghaz360 is built around the contract and the money, and it's better to know that before you start.
- It doesn't track insurance certificates, licences or tax forms, or warn you when they expire.
- There is no subcontractor portal for bids or invoices. You agree the price, then record the contract.
- Lien waivers and certified payroll, common on US jobs, aren't covered.
- Payslips, loans and tax withholding for salaried staff are planned, not available yet.
Subcontract terms in plain words

- Money paid before the work is done and recovered from later payments.
- Retention
- A share of each payment held back until the work is finished and any defects are put right.

Subcontractor management questions
Can I give the subcontractor a copy of the contract?
Yes. Each contract has a PDF with your terms printed on it, to share or print.
Can I record a subcontractor advance and retention?
Yes. Each contract holds its value, advance and retention, and the subcontractor's ledger shows advances, retention and payments together.
Who approves subcontractor payments?
Every payment is approved before it is marked paid with its receipt. Who can approve depends on the roles you give people in your company.
Can I pay part of what is owed?
Yes. Record a full payment, a part payment or an advance against the contract.
Does it track subcontractor insurance and compliance documents?
No. Aaghaz360 doesn't track insurance certificates, licences or tax forms. It covers the contract and the money.
Is this the same as contractor management software?
Not usually. Contractor management software often means tools for facility safety and compliance, or for hiring independent contractors. Aaghaz360 manages subcontracts on construction projects.
How much does subcontractor management cost?
It is part of every package: Free for 1 running project, and $149, $249 or $499 a year for up to 5, 15 or unlimited running projects. Users are unlimited, so nothing is charged per subcontractor.
